Dear Parents,

Thank you for your interest in sending your child to UAYA summer camps in Ellenville, New York. The Camp Commission has been hard at work all year planning a safe and fun experience for your children. All camps will abide by New York State Department of Health Guidelines, released on May 19, 2021. Our goal is to provide a great camp experience while keeping everyone safe and healthy.  

Please understand this is a living document and may be updated to correlate with any changes in NY State guidelines. Our ultimate goal is to have as normal of a camp experience as possible while keeping all of our campers and staff safe and healthy.

Registration & Medical Form Deadlines

Camp registration will be closed 3 weeks prior to the start of any camp. This is also the deadline for all medical forms to be submitted in order to be eligible to attend camp.   

No late registration or medical forms will be accepted after the deadlines listed below.

Required Health Forms

Campers will not be permitted to participate in camp until all required health forms are submitted to UAYA Camps. All of the documents listed below are required and must be provided for each child 21 days prior to the start of camp.  Due to limited capacity, if Health forms are not received, registration will be canceled.

Payment Deadline

The Oselia office will send an invoice via QuickBooks Online based on the number of weeks your child will be attending camp. Each child will be invoiced separately. Full payment is due to Oselia 14 days prior to the start of the first camp your child is attending.

Cancelation Policy 

In order to provide the safest environment for campers and staff, camps will have limited capacities this year. As a result, cancelations will negatively impact other families that may have otherwise attended camp.

  • In the event that UAYA Ellenville Camp is able to offer camp, but a family chooses to cancel their registration due to medical reasons or family emergencies, the full camp fee(s) will be refunded.
  • In the event that UAYA Ellenville Camp is able to offer camp, but a family chooses to cancel their registration 21 days prior to the start of registered camp due to reasons unrelated to a medical or family emergency, 100% of camp fee(s) will be refunded.
  • In the event that UAYA Ellenville Camp is able to offer camp, but a family chooses to cancel their registration less than 21 days prior to the start of registered camp due to reasons unrelated to a medical or family emergency, camp fees will be refunded minus $100 per camper, per camp.
  • There are no refunds for children who are unable to complete the camp for medical or behavioral reasons.  
  • If UAYA Ellenville Camp cancels programming during your registered week(s), 100% of your camp fee(s) will be refunded.

COVID-19 Procedure

Due to strict restrictions on having outside visitors, the camp will be treated as a “closed bubble” this summer. With the current restrictions, only campers, staff, and registered guests will be permitted on Oselia during camps in order to provide the utmost safety and reduce risks for everyone. Please know that this is done to protect our campers.

Health Screening

All campers and staff are required to provide proof of a negative COVID-19 test within 72 hours of arrival to camp or show proof of vaccination.   Daily screenings of all campers and staff will include temperature checks and COVID-19 health questions. 

Per NY State guidelines, fully vaccinated against COVID-19 is defined as 14 days after completion of the vaccine series. All other individuals are considered unvaccinated. 

Any additional testing during camp, as determined to be necessary by the camp Medical Director, will be at the expense of the parents/guardians. 

Upon Arrival at Camp:

  • All campers and staff must present documentation of a negative COVID-19 diagnostic test performed within the last 72 hours or proof of having completed the COVID-19 vaccination series at least 14 days prior to the date of arrival at camp or documentation of laboratory confirmed COVID-19 in the previous 3 months.
  • All campers and staff must be screened for COVID-19.       
    • At a minimum, screening must include temperature checks and be completed using a questionnaire that determines whether the individual has: 
  1. knowingly been in close or proximate contact in the past 10 days with anyone who has tested positive through a diagnostic test for COVID 19 or who has or had symptoms of COVID-19       
  2. tested positive through a diagnostic test for COVID-19 in the past 10 days; 
  3. has experienced any symptoms of COVID-19 including a temperature of greater than 100.4°F in the past 10 days and/or 
  4. has traveled within the past 10 days and not complied with requirements of the New York State Travel Advisory.

Throughout the Duration of Camp:

  • Staff must check camper temperatures every morning and evening, and make visual inspections of campers throughout the day for signs of potential COVID-19 illness which could include flushed cheeks, rapid breathing or difficulty breathing (without recent physical activity), fatigue, or extreme fussiness.
  • Staff must complete temperature checks daily in the morning and evening and be instructed to report to the infirmary immediately if they are experiencing COVID-19 related symptoms or become aware of any potential exposures, as noted on the questionnaire.       
  • Any camper or staff member who tests positive for COVID-19 during the camp session will be required to vacate the premises within 24 hours of confirmed positivity.  Any additional testing during camp, as determined to be necessary by the camp Medical Director, will be at the expense of the parents/guardians. 

Hygiene, Cleaning, and Disinfection

  • Staff and children/campers must perform hand hygiene immediately upon entering the program       
    • Upon arrival to the first program activity; or between all program activities;
    • After using the restroom;
    • Before eating; and,
    • Before departing the last program activity. 
  • Appropriate cleaning and disinfection supplies will be shared and used on frequently touched surfaces (e.g. door handles, handrails, toys, art supplies, areas where children eat) and encourage their staff to use these supplies following manufacturer’s instructions for use before and after use of these surfaces, followed by hand hygiene. 

Mask Wearing

All camps will follow mask wearing requirements set by the New York State Department of Health. At this time, masks must be worn by all campers, staff and camp family members staying on Oselia who are not fully vaccinated when indoors and when social distancing cannot be enforced outdoors. For those participating in overnight camps, masks will not be worn while sleeping, showering, or swimming.  

Per NY State guidelines, fully vaccinated against COVID-19 is defined as 14 days after completion of the vaccine series. All other individuals are considered unvaccinated. 

Meals / Snacks

Overnight Camp: All meals will be eaten outside. Campers will be assigned designated tables either on the outdoor kitchen deck or under the pavilion which is within proximity to the kitchen. The tables will be spaced 6 feet apart. A system will be in place for safely serving food to campers and staff.

Campers will only be allowed individually wrapped snack items which will remain in komanda who will designate specific times for snack.   Sharing of snacks is not allowed.  Bottled water will also be allowed.   Proper recycling will be made available to lessen environmental impact. 

Day Camp: An individual, pre-packaged snack will be provided during snack time for each camper. Lunch will be served outside.

Cohorts

Each room will act as a cohort aka “riy”.  Cohorts will remain together during group activities and meals.

Supplies/Equipment 

Sanitation: Each cohort/”riy” will be assigned their own bag of supplies/equipment so that they will be the only ones using those supplies. Staff will sanitize equipment between activities and after each use.
                       

Pool Time               

The pool will be closed during each camp’s designated swim time to anyone not participating in camp.  Camps running during the same week will have staggered pool times.                    

Sunday Free Time                   

Free time on Sunday, aka “Dozvilia” will not be allowed this year.  Parents, however, will be allowed to pick up and drop off approved items (e.g. clean laundry, additional snacks and/or water) during the designated hours as communicated by each camp.  Parents will not be allowed to visit with their children when dropping off or picking up items.                

COVID-19 Precautions

Overnight Camps

  • Administer temperature checks along with health questions for all campers upon entering camp on check- in day. Temperature checks will also be administered at least 2 more times throughout each day
  • Use hand sanitizer before entering any indoor locations, including: rooms/kitchen/Bathrooms.
  • Wash hands before entering the kitchen, after bathroom use, and before activities.
  • Train staff to recognize symptoms of sickness and fever etc.
  • Medical professional onsite for all camps
  • An isolation center,  quarantined from the rest of the camp, will be used for ill campers/staff and will have a separate bathroom for their access only
  • Facilitate a “covid” training for all campers and staff following the camp’s opening ceremony.   Training to include but not be limited to: health policies and procedures such as, temperature checks, mask wearing, hand hygiene, coughing/ and sneeze covering, etc.
  • Deep cleaning of all camp facilities at the start/end of each camp.
  • Additional cleaning efforts in and around Oselia daily, including, but not limited to: daily sanitations, disinfections of the kitchen, bathrooms, pool area, high-touch surfaces, and equipment.
  • Head to toe sleeping arrangements, with beds arranged in line with 6 feet social distancing requirements.
  • A reduced number of campers per room
  • Assign campers to small groups (cohorts/riy) during camp activities: these groups will not intermingle and will be distanced or assigned staggered schedules to avoid large gatherings of campers and /or staff while using the bathrooms and indoor spaces
  • Activities will be planned outdoors as much as possible, unless rainy day space is needed.

Day Camp

  • Masks must be worn by all staff when indoors and when social distancing cannot be enforced outdoors.
  • Administer temperature checks along with health questions for all campers and staff upon entering camp each day.
  • Use hand sanitizer before entering any indoor locations, including: Rooms/Zalya/Dining Area/Bathrooms.
  • Wash hands before entering the dining area, after bathroom use and before/after activities.
  • Train staff to recognize symptoms of sickness and fever
  • Facilitate a  “covid” training for all campers and staff following the camp’s opening ceremony.  Training to include but not be limited to: health policies and procedures such as, temperature checks, mask wearing, hand hygiene, coughing/ and sneeze covering, etc.
  • Additional cleaning efforts in and around Oselia daily. Including, but not limited to daily sanitations, and disinfections of the kitchen, bathrooms, pool area, high-touch surfaces, and equipment
  • Assign campers to small groups (cohorts/ryj) during camp activities: these groups will not intermingle and will be distanced or assigned staggered schedules when large gatherings of campers and /or staff are using the bathrooms and indoor spaces.
  • Activities will be planned outdoors as much as possible, unless rainy day space is needed.
  • An individual, pre-packaged snack will be provided during snack time for each camper.  Lunch will be served outside. 

Camp Check-In Day

Check-in Procedures

Temperature checks will be conducted for all family members along with COVID-19 health questionnaires upon entry to the Oselia grounds.  Please plan your travel time to Oselia accordingly.

Check-in Date:  Check-in will take place on Sunday for each camp.

Check-in Time:  1pm – 4 pm

  • In an effort to minimize the number of families at each specific campsite at one time, each family will be assigned a designated check-in time (between 1pm and 4pm).
  • Families will be notified of their assigned check-in time no later than the Friday prior to the start of camp.
  • Please respect others and arrive at the check-in area only during your assigned time slot.
  • The check-in schedule will be designed to allow enough time for your camper to settle into their room.
  • If you arrive before your assigned check-in time, you will be asked to return to your vehicle until your designated time.

Check-in Location:  Check in will be taking place at the Pavillion across from the candy store.  

Check-in Process

Upon arrival at the check-in area, a camp staff member will direct you to the first checkpoint



Checkpoint # 1:
Health Screening

A camp staff member will check the camper’s temperature and ask COVID-19 health screening questions.If the camper’s temperature is at or above 100.4 degrees, the camper and any siblings in the program will not be allowed into camp.If a participant does have COVID-19 symptoms, he/she cannot enter the premises until they have had no fever for at least 72 hours, other symptoms have improved, and at least 10 days have passed since their symptoms first appeared.       





Checkpoint # 2
Documentation Verification

One parent/guardian and your camper(s) will be directed to the camper check-in tableCampers will NOT be permitted to participate in camp if required documents are not submitted to UAYA Ellenville Camps 3 weeks BEFORE the first day of Camp

If your camper has personal medication that they will need to take while participating in camp, please ensure you visit the Medical Table to review health information with the Medical Professional and turn in all medication and camper health history form.
Once all pre-submitted camper documents have been verified you will  receive room assignment and instructions for how to deliver your child’s belongings to the camp       




Checkpoint # 3
Move In

Please note: Parents/Guardians will not be allowed into the camp rooms.
Drive to campYou will be directed when you can drive up to rooms and meet with the assigned counselorUnload your camper’s items at the designated area.Say Goodbye to your camper and allow the next group to move in.
Parents will not be permitted to stay for the opening ceremony but can watch the live stream or recording which will be shared via the camp Facebook Page.

Check-out Procedures

Please follow the steps below before picking up your camper after Camp.

Check-out Date:  Check-out dates vary per camp.  

Check-out Time:  Check-out time will vary from camp to camp, but will immediately follow the closing ceremonies on the last day of your camper’s session.

  • In an effort to minimize the number of families at one time, each family will be assigned a designated check-out time that will follow the camp’s closing ceremony.
  • Families will be notified of their assigned check-out time no later than the Friday before camp ends.
  • Please respect others and arrive at the check-out area only during your assigned time slot.
  • The check-out schedule will be designed to allow enough time for your camper to collect their belongings and vacate their room.
  • If you arrive before your assigned check-out time, please DO NOT congregate near the check-out area. We request that you return during your assigned check-out time.

Check out Process

  1. A parent/guardian will be required to sign a Camper Release form before being united with your camper.  A camp staff member will provide the form for your signature.  
  2. If someone other than a custodial parent or guardian is picking up your camper, UAYA Ellenville Camp MUST have written parental consent, otherwise the camper cannot be released.
  3. Pick up your camper and your camper’s luggage at the designated pick-up area. Make certain that you have everything that your camper came to camp with.
